eBay Seller Payment-Dispute Response Builder

For eBay sellers only: a buyer has gone around eBay and filed an external payment dispute with their bank, card provider or PayPal — and now you have 5 calendar days to accept or challenge it. This builder gives you that deadline from your notification date, the evidence pack for the exact reason eBay shows, and a protection screen that checks the $750 signature line before you submit. Two honest warnings up front: the payment institution decides, not eBay, and eBay's own consequence for silence is that the institution is likely to find in your buyer's favor — this tool quotes that wording exactly and never upgrades it to a certain loss, and never promises you a win. This is the seller side of an eBay dispute; the buyer-side track is a different case with a different decision-maker, and the full seller playbook is in the companion guide.

Build your eBay seller response

Private by design — everything runs in your browser. The date on your own eBay dispute notice governs over any date computed here.

What reason does eBay show for this payment dispute?
eBay counts 5 calendar days after the dispute notification is received. Enter the notification date eBay shows, not the order date.
At $750 or more, eBay requires proof that signature confirmation was purchased. Below $750, that proof is not the protection requirement.
Tick what is true for this order (leave the rest unticked)
How the rules work

The 5-day clock, honestly worded

eBay's seller help page says you must either accept or challenge a payment dispute within 5 calendar days — and that if you do not respond, the payment institution is likely to find in your buyer's favor. That is the exact wording, and it matters: it is a strong warning, not a sentence. The institution still decides, and eBay may already hold evidence that helps you, but a silent seller gives the institution almost nothing to decide on except the buyer's claim. Respond through My eBay Sold or Requests and disputes in Seller Hub, via Respond to dispute, then Accept the dispute or Challenge dispute and provide proof.

Accept vs challenge — and what each one costs

Accepting is not surrendering for nothing: eBay says the amount is generally paid from your Available, Processing and On hold funds (or your on-file payment method if funds are short), eBay waives the dispute fee, and you receive fee credits for some or all of the disputed transaction's fees. Challenging keeps the amount in play, but only the payment institution's decision ends the case — and if it finds for the buyer and you are not protection-eligible, the refund is deducted from your funds and a dispute fee is charged (at most one dispute fee per order). If you are protection-eligible, eBay does not seek reimbursement for the disputed amount even if the institution refunds the buyer, and waives or refunds the dispute fee. No dollar fee amount is stated on this page, because eBay's own pages fetched for this build state no dollar fee amount — any guide that quotes one for eBay US is not quoting eBay's own seller pages.

The $750 signature line

For a not-received or unrecognized dispute, eBay's protection evidence is carrier tracking showing a delivered status, the delivery date, and a recipient address matching the Order details page — plus, for orders with a total cost of $750 or more (item price, postage and applicable taxes), proof that signature confirmation was purchased, uploaded as an image when you challenge. The $750 threshold applies to ebay.com, ebay.ca and ebay.com.au; other eBay sites set their own thresholds. Below $750 the signature proof is not the protection requirement — delivered tracking to the matching address is. For in-store pickup, the equivalent evidence is the order ID, item number, title, amount paid, collection date, buyer signature, photo ID if available, and pickup address.

What protection does — and does not — cover

eBay says protections may apply for three reasons only: the buyer did not receive the item, the buyer does not recognize the transaction, or the item does not match the listing. Eligible scenarios require physical goods with evidence of successful delivery or pickup, a response inside the required time frames, the required evidence when challenging, and no violation of the User Agreement. Excluded: items breaching prohibited or restricted policies, items not covered by Money Back Guarantee, in-store pickup items where you gave an exchange or store credit on a return, and transactions refunded outside eBay. For a not-as-described dispute, eBay's protection decision looks for a full refund through eBay, a refund through eBay with a used-or-damaged deduction under its guidelines, or a same-type Money Back Guarantee case already resolved in your favor or by full refund — pre-shipment photos are the evidence eBay names for the challenge itself.

The trap this tool exists to catch

Two traps. First, the wrong-clock trap: sellers who treat an external payment dispute like a Money Back Guarantee case, or vice versa, answer to the wrong decision-maker on the wrong deadline. The 5-calendar-day clock belongs to the payment dispute; the 3-business-day seller response belongs to the Money Back Guarantee return request. Second, the silent-seller trap: waiting to see what the buyer does next, or assuming eBay will defend the sale on tracking it already holds. eBay does sometimes apply protections automatically without a seller response — but you cannot count on that, and eBay's own wording for silence is that the institution is likely to find for the buyer. Respond inside 5 days, with the pack for your exact reason, even if your challenge is short. Read the full breakdown in the eBay seller payment dispute guide.

Note on a source conflict: one line in the handling page's status section says funds may be held up to 30 days, against the protections policy's 90 calendar days — this page uses 90 calendar days and flags the conflict rather than hiding it. No eBay US dollar dispute-fee amount, seller phone number, or portal URL was found on eBay's own pages fetched for this build, so none is claimed here. Your own dispute notice and eBay's current policy govern over this page.

General information only — not legal advice. eBay's terms change and your dispute notice governs your case. The payment institution decides the external dispute; nothing on this page promises an outcome.
