eBay Seller Payment Disputes: the 5-Day Response

For eBay sellers: a buyer has skipped eBay and filed an external payment dispute with their bank, card provider or PayPal. You have 5 calendar days to accept or challenge it, the payment institution decides, and your evidence has to fit eBay's format limits. This guide gives you the clock, the evidence pack for each reason, the $750 signature line, the payout hold, and the 30-day protection appeal — every rule from eBay's own seller pages, checked November 2, 2026. Start with the eBay Seller Payment-Dispute Response Builder to compute your deadline and pack, then use this guide for the reasoning behind it.

The seller side, step by step

1. First, confirm which track you are on

eBay draws a hard line that sellers keep blurring. A payment dispute is when the buyer reports the issue to their bank, credit card provider, PayPal or other payment institution; eBay's Money Back Guarantee is when the buyer reports the issue on eBay. The payment dispute is decided by the payment institution; the Money Back Guarantee case is decided by eBay. The clocks differ too: 5 calendar days to accept or challenge a payment dispute, against a 3-business-day seller response for a not-as-described Money Back Guarantee return request. Buyers cannot use more than one resolution method for the same transaction — the moment a payment dispute opens, open cancellations, not-arrived reports, return requests and Money Back Guarantee cases for that transaction are closed. If your notice says “payment dispute,” this guide is your track; if it says Money Back Guarantee case, you are on eBay's track with a different decision-maker.

2. The 5-day clock — and eBay's exact warning

eBay's seller help page states the clock twice over, in the same words: accept or challenge within 5 calendar days after the dispute notification is received. The protections policy repeats it as a table: accept within 5 calendar days after notification; challenge with supporting evidence within 5 calendar days after notification. The consequence eBay publishes for silence is precise, and this guide quotes it rather than strengthening it: if you do not respond, the payment institution is likely to find in your buyer's favor. It is not an automatic loss in eBay's wording — the institution still decides — but a silent seller hands the institution only the buyer's version. Respond through My eBay Sold or Requests and disputes in Seller Hub: select Respond to dispute, then Accept the dispute or Challenge dispute and provide proof, then Continue or Submit. The date on your own dispute notice governs if it differs from any computed date — use the builder to compute, and your notice to confirm.

3. The evidence pack for each reason

eBay sends everything you submit to the buyer's payment institution, and it caps the submission: supporting text up to 1000 characters, up to 5 files, in JPEG, JPG or PNG, totaling under 1.75 MB. Crop images to the relevant area before upload. The packs below are drawn from eBay's protections policy, not from generic chargeback advice:

Dispute reasonEvidence eBay namesProtection note
Item not receivedCarrier tracking: delivered status, delivery date, recipient address matching the Order details page; signature-confirmation proof at $750 or more, uploaded as an imageNamed protection reason; physical goods + delivered/pickup evidence required
Buyer does not recognize the transactionSame delivery proof: delivered status, date, matching address; signature proof at $750 or moreNamed protection reason; the order-to-address match is the challenge
Item does not match the listingPhotographs showing the item's condition prior to shipment, plus the listing as soldNamed protection reason, but protection turns on a refund through eBay or a resolved same-type MBG case (see §5)
Charged more than onceOrder and payment records showing how many charges exist for this orderNot named in eBay's protection-reason list — challenge on the order facts; do not count on protection
Cancelled / missing credit or refundOrder and cancellation records; any refund record through eBayNot named in the protection-reason list; a refund made outside eBay is an excluded transaction

For in-store pickup, the delivery-proof equivalent is the order ID, item number, title, amount paid, collection date, buyer signature confirming collection, photo ID if available, and pickup store address. Whatever the reason, keep your challenge text short and factual: what happened, with dates, inside 1000 characters. A long story that misses the delivery date or the matching address is weaker than a short one that states both.

4. The $750 signature line

For orders with a total cost of $750 or more, eBay's protections require proof that signature confirmation was purchased, uploaded as an image when you challenge. The total is the item price plus postage plus applicable taxes, and the $750 threshold applies to ebay.com, ebay.ca and ebay.com.au — other eBay sites set their own thresholds (for example, different currency thresholds apply on eBay's European sites, so check your own site's page before assuming $750 travels). Below $750, signature proof is not the protection requirement; delivered tracking to the address on the Order details page is. The practical lesson is pre-shipment, not post-dispute: at $750 or more, buy signature confirmation at dispatch, because you cannot create that proof after the buyer files.

5. Accept vs challenge — the math without invented fees

Accepting: the amount is generally paid from your Available, Processing and On hold funds, or your on-file payment method if funds are short; eBay waives the dispute fee and you receive fee credits for some or all of the disputed transaction's fees; eBay closes the dispute once the payment institution confirms the refund. In some cases eBay may respond on your behalf even if you accept, and then you are not charged a dispute fee either. Challenging: if the institution finds for you, you are not charged for a refund and you do not pay a dispute fee. If it finds for the buyer, whether you are charged for the refund and a dispute fee depends on protection eligibility — eligible sellers are not charged the refund amount and have the fee waived or refunded, even if the institution refunds the buyer; non-eligible sellers have the refund deducted from their funds and are charged a dispute fee, at most one per order. This guide states no dollar fee amount: eBay's own pages fetched for this build state that a fee exists and when it is waived, but no dollar amount, and a fee figure borrowed from a third-party blog would be exactly the kind of invented number this site refuses to print. Accept when the buyer is right, when the evidence does not exist, or when the item's return plus fee credits beats a weak challenge; challenge when the delivery or condition evidence answers the reason directly. Either way, if you want the item back, select Try to get my item returned and verify your return address — eBay tries to recover it but cannot guarantee the buyer returns it.

6. The payout hold and the case length

Do not confuse the 5-day response clock with the case clock. eBay's protections policy says the seller's funds may be held for up to 90 calendar days from when the dispute arises, and the handling page says the dispute itself could take up to 90 days or more to resolve depending on the payment method or card provider. One line in the handling page's status section says funds may be held up to 30 days instead — that conflicts with the protections policy's 90 calendar days, and this guide uses 90 calendar days while flagging the conflict, rather than silently picking the friendlier number. A payment institution may also reopen a closed dispute; if it does, eBay notifies you and may ask for additional evidence. Plan cash flow on 90 days, not on 5.

7. Protection eligibility, in full

eBay says protections may apply — conditional language, and the tool on this site keeps it conditional too. The seller must respond within the required time frames, provide the required evidence when challenging, and not be in violation of the User Agreement. Eligible scenarios are physical goods with evidence of successful delivery or pickup, or a refund issued through eBay as described in §3. Excluded transactions: items breaching prohibited or restricted policies, items not covered by Money Back Guarantee, in-store pickup items where you gave an exchange or store credit on a return, and transactions refunded outside eBay. eBay may also apply protections automatically without requiring a response — but that is eBay's choice on the facts it holds, not a reason to stay silent inside your 5 days. If eBay determines you are not eligible, you can appeal by contacting eBay within 30 calendar days from the date the outcome was communicated; eBay may ask for additional documentation, and eBay reserves the right to make final decisions.

8. Prevention, from eBay's own list

eBay's handling page lists the dispute reasons buyers actually file — not received, not matching the description, unrecognized, charged more than once, changed mind or cancelled, missing credit or refund — and pairs them with prevention habits: detailed accurate listings, multiple high-quality photos, tracked shipping with proof of delivery to the checkout address, signature confirmation above the threshold, responsive eBay Messages, and keeping messages and documentation inside eBay tools. The through-line is evidence created before the dispute: a listing that matches the parcel, photos taken before shipment, tracking uploaded to the order, and a signature receipt at $750 or more. None of that guarantees any single dispute — the institution decides, and protection is conditional — but it is the entire difference between a challenge with a pack and a challenge with a paragraph.
